How to use Cogent with Cliniko, Halaxy and other practice software

Three routes for fitting Cogent around the software you already have, with the steps for each. If you would rather not do it alone, I will set it up with you.

Almost nobody wants another system. You already have somewhere your appointments live and somewhere your clinical records sit, and the last thing a working week needs is a second place to keep notes. So the question that matters about an AI scribe is not what it can write. It is whether what it writes ends up where your records already are, without you retyping it.

There are three ways to do that with Cogent, and which one applies depends on the practice management software you use. If you are looking for a Cliniko integration or a Halaxy integration, those are the first two. If you use something else, the third works alongside any system. There is more on each on the practice software page.

I will set this up with you

Setting this up means generating something called an API key inside your own practice software. It is a few clicks, and it is also a phrase most clinicians have had no reason to meet. If that sentence made you want to close the tab, that is a completely reasonable response and not a reflection of anything.

So for the moment I am doing this individually with anyone who wants it. Email me and we will do it together, in about ten minutes, and you will not have to work out which menu anything is under. The steps below are here for anyone who would rather get on with it themselves, and they work the same on every plan.

If you use Cliniko

Cogent writes the finished note straight into the client's record. You will want to be logged in to Cliniko as yourself, on your practitioner account, because Cliniko records that practitioner as the note's author. That is the right way round: you reviewed it, so you wrote it.

  1. In Cliniko, open My Info, tick the option allowing yourself to create and use API keys, create a key and copy it.
  2. In Cogent, go to Settings, find the Cliniko section, paste the key and press Connect. Cogent checks it with Cliniko there and then and confirms it is ready to use.
  3. Open a client folder, choose Edit, search your client list in Cliniko by surname and pick the right person. Once per client.
  4. Draft a document as usual. When you are happy with it, press Send to Cliniko, next to Copy and Export. The note appears in that client's record as a finalised treatment note, authored by you, with your headings kept.

If you use Halaxy

The same, with one extra step: you tell Cogent which practitioner authors the notes, so everything it files carries your name.

  1. In Halaxy, open the developer page and create an API Key. Copy the Client ID and the Client Secret.
  2. In Cogent, go to Settings, find the Halaxy section, paste both, choose your region and press Connect.
  3. Pick yourself from the list of practitioners. If you work at more than one clinic you will see yourself once per clinic, and the one you pick is the one notes are filed under.
  4. Link a client folder to that client, as above, and Send to Halaxy appears on a finished document.

If you use anything else

The browser extension works alongside any system, which for most clinicians makes it the route. It puts Cogent next to your notes rather than in another tab: a small panel appears over whatever you have open in Chrome, including your record system.

From that panel you can see a client's formulation, dictate into any text box, record and transcribe a session, draft the note, and put the finished text straight into the field your cursor is in.

  1. Install the Cogent extension in Chrome and connect it to your Cogent account once.
  2. Open your record system as normal and click into the notes field for the right client.
  3. Open the Cogent panel, draft the note, and insert it where your cursor is.

You stay in charge of every step

You choose which client a folder belongs to, so a note is only ever filed against a client you picked yourself. Cogent adds the documents you have approved, when you press the button on that document, and your records stay where they already are.

If your system is not here

Tell me which one you use. Which system comes next is being decided by what practitioner psychologists actually use, so it goes on the list. In the meantime the extension works whatever you have.

If you are still weighing up tools rather than setting one up, the questions worth putting to any AI scribe is the more useful place to start.

Common questions

Does Cogent work with Cliniko?

Yes. Connect Cliniko once in Cogent's settings using an API key you generate from your own practitioner login, link a client folder to that client, and a finished note gets a 'Send to Cliniko' button. The note arrives in that client's record as a finalised treatment note, authored by you, because it is written with your own credentials rather than a shared account.

Does Cogent work with Halaxy?

Yes. The setup has one extra step: you choose which practitioner authors the notes, so every note Cogent files carries your name. If you work at more than one clinic you will see yourself once per clinic, and the one you pick is the one notes are filed under.

What if my practice software has no Cogent integration?

Use the browser extension, which works alongside any system, including one with no integration of its own. It puts a small Cogent panel on top of whatever you have open in Chrome, including your record system, so you can see a client's formulation, dictate, record and transcribe a session, draft the note, and put the finished text straight into the field your cursor is in.

Do I need to be technical to set this up?

No, and if you would rather not do it alone, I will do it with you. Generating a key is a few clicks in your own practice software, but the wording is unfamiliar if you have not met it before, so for now I am setting this up individually with anyone who asks.
